The purpose of this checklist

An arrival plan should get a foreign visitor from the aircraft door to the correct hotel with documents, baggage, connectivity, payment, and transport still working. It is broader than immigration alone: each step depends on the one before it, and the best backup is prepared before the flight.

72 to 24 hours before departure

  • Recheck the entry rule for your nationality, passport, purpose, route, and stay length on an official source.
  • Confirm the exact arrival airport or station, including terminal.
  • Confirm the first hotel's branch, Chinese name, full Chinese address, phone number, reception hours, and foreign-guest check-in capability.
  • Tell the hotel when a late arrival is likely.
  • Save the booking confirmation, route from the arrival point, and hotel map pin for offline use.
  • Confirm how checked baggage is handled on every connection, especially a self-transfer.
  • Install and sign in to the map, translation, airline, rail, payment, and messaging tools needed on day one.
  • Prepare two payment methods and a small emergency reserve. Do not make one phone or one wallet your only option.
  • Charge the phone and power bank and pack the correct cable where it can be reached.

Keep medicine, valuables, one change of essential clothing, and all entry documents in cabin baggage rather than a checked suitcase.

The arrival folder

Create one offline folder containing:

  1. Passport photo page and the relevant visa or eligibility record.
  2. Arrival transport details and the baggage tag receipt.
  3. Hotel confirmation in the booking name.
  4. Hotel name and address in Chinese and English.
  5. Hotel and emergency contact numbers.
  6. Onward or return itinerary.
  7. Travel-insurance policy and assistance number.
  8. Screenshots of the first route, terminal pickup point, and any ticket QR code.

The folder is a backup, not a substitute for an original passport where the original is required.

From landing to the public arrivals hall

1. Reconnect before moving on

Turn off airplane mode and test the primary SIM, eSIM, or roaming plan. If it fails, continue with saved documents and use official airport Wi-Fi only as a temporary bridge. Avoid changing several account or network settings at once while tired.

2. Follow transfer or arrivals signs

Do not automatically follow the largest crowd. International transfer, domestic connection, and entry into China may use different routes. If a connection requires baggage collection or an airport change, confirm the process with airline staff.

3. Complete border inspection

Keep the passport and supporting documents in hand, use the instructed lane, and give accurate arrival information. Leave time for additional questions. Once cleared, put the passport back in the same secure place before walking away.

4. Collect and check baggage

Use the flight number on the carousel display rather than relying only on city names. Compare the bag tag before leaving the belt. If a bag is missing or damaged, report it at the airline or baggage-service desk inside the controlled area and obtain a case number before leaving.

5. Pass Customs

Choose the declaration channel that matches what you carry. China Customs instructs passengers to declare accompanied baggage truthfully; when uncertain, ask at the declaration channel.

In the arrivals hall

Pause in a staffed, well-lit area and run these four tests before booking a ride:

  • Connection: open a live page or send a message.
  • Payment: verify that the chosen wallet or card is ready; keep the backup separate.
  • Navigation: open the saved hotel pin and compare it with the written Chinese address.
  • Contact: confirm that the hotel number and booking message are reachable.

If something fails, solve one dependency at a time. Airport staff, official service counters, bank ATMs, telecom counters, and the hotel are safer first contacts than an unsolicited helper.

Choose ground transport by arrival conditions

Rail or metro

Use it when service is still running, luggage is manageable, and the final walk or transfer is clear. Check the last service and the correct station exit before entering the system.

Official taxi

Follow terminal signs to the managed taxi queue. Show the full Chinese address and hotel phone number. Do not accept a ride offered inside the terminal by an unverified driver.

Ride-hailing

Confirm airport, terminal, pickup zone, floor, plate, and driver inside the app. Airport pickup points can be separated from the taxi queue and may require a walk.

Hotel shuttle or pre-booked transfer

Confirm the meeting point, operating hours, contact method, and what happens after a flight delay. A sign with a name is not enough; verify the booking and provider.

Hotel check-in

  • Confirm the property name and branch before unloading luggage.
  • Present the original passport used for the booking.
  • Check the room type, nights, deposit, breakfast, and payment status before accepting an extra charge.
  • Ask the hotel to write or message its Chinese address for the return trip.
  • Test room Wi-Fi, mobile signal, charging, and the next morning's alarm.
  • Store the passport securely but keep it available for transport or ticket checks that require the original.

If the hotel cannot find the reservation, compare the branch, guest-name order, confirmation number, platform, dates, and payment record. Contact the booking platform while you are still at reception.

Late-night arrival plan

Late arrivals remove options. Before takeoff, record the last public-transport time, confirm 24-hour reception or late check-in, and choose a primary and backup ride. Keep enough battery and an independent payment method for the full trip to the hotel. If the original hotel cannot receive you, use a verified nearby property rather than improvising transport after midnight.

Before sleeping on the first night

  • Tell a trusted contact that you reached the correct hotel.
  • Put passport, wallet, and phone in consistent places.
  • Charge every device needed the next day.
  • Check the next ticket's station or terminal, departure time, and required original ID.
  • Reconfirm any timed attraction or early transfer.
  • Save the hotel's address and nearest landmark offline.
  • Settle only urgent setup tasks; postpone optional account changes until rested.

Recovery priorities

When several things go wrong, handle them in this order: personal safety and required medicine, passport and legal status, a secure place to stay, communication, transport, payment, then convenience. Keep written case numbers for lost baggage, police reports, insurance calls, and platform disputes.
